Self-operation instead of user fees: the math behind SharePoint
Running SharePoint in-house is a deliberate decision, and it has two reasons. The first is data sovereignty: contracts, personnel files and project documents are kept where you put them, and nowhere else. The second is cost-effectiveness.
A cloud workplace costs per user per month, permanently and regardless of how intensively it is used. With SharePoint, this is set against a one-time procurement of the server license and client access licenses. Multiply the number of users by the monthly amount by 60 months and set that against the one-time sum. With used volume licenses this comparison is even clearer, because the entry price is below the list price. The prerequisite remains that you can handle the operation in-house.
Server + CAL: how licensing works
SharePoint follows the Server + CAL model. You license every server instance and, in addition, every user or device with access. The Standard CAL covers the basic functions: team sites, document libraries, search and workflows. The Enterprise CAL is added on top for extended functions and does not replace the Standard CAL.
What else must be licensed under SharePoint
SharePoint does not run alone. Underneath are a Windows Server including Server CALs and a SQL Server instance for the content databases. Both need licenses of their own. Anyone who only plans for the SharePoint license has overlooked half the bill. On request, we put the complete combination together for you, so that nothing is missing in an audit.
Publicly accessible portals
Different rules apply to externally accessible websites, because the number of people accessing cannot be determined. If you make SharePoint available to the outside, contact us before you buy.
What to check before you buy

Server license per instance
Every running SharePoint instance is licensed individually, including in test and development environments.
CALs for everyone who accesses
Every user and every device with access needs a CAL, even with read-only access on the intranet.
Windows Server and SQL Server underneath
SharePoint requires a licensed Windows Server including Server CALs as well as a licensed SQL Server instance. These licenses are added to the SharePoint licenses.
Check the end of support before deciding
A portal that the whole company works on should not run on a version that is being phased out. We give you the end of support for every license.
Frequently asked questions
Does the Enterprise CAL replace the Standard CAL?
No. The Enterprise CAL is a supplement and is licensed in addition to the Standard CAL. For a user with extended functions you therefore need both.
Does self-operation pay off compared with the cloud?
That depends on whether you have the administration in-house anyway. If so, the one-time procurement usually pays for itself clearly compared with ongoing user fees. Multiply users by the monthly amount by 60 months and set that against it.
Do I also need SQL Server licenses?
Yes. SharePoint stores its content in a SQL Server database, and that needs a license of its own. We put the complete combination of SharePoint, SQL Server and Windows Server together for you.
Do I need CALs for test environments?
Test and development instances also require licenses. Describe your setup to us and we will tell you what you actually need.
Do external visitors to a portal need a CAL?
Separate rules apply to externally accessible websites, and they differ considerably depending on the case. Describe the specific setup to us and we will tell you which variant is economical for you.
How long will my version still be supported?
That depends on the version. For every license we offer, we give you the end of support, so that you do not invest in a version that is being phased out.
