Why Exchange continues to run in-house
Many businesses deliberately run their mail infrastructure themselves, for two reasons. The first is data sovereignty: in regulated industries and for particularly sensitive content, mail traffic is not supposed to leave the company. The second is the math.
A cloud mailbox costs per user per month, permanently. With 50 mailboxes and a term of five years, an amount adds up that is set against a one-time procurement of the server license and client access licenses. With used volume licenses, self-operation pays for itself correspondingly quickly, provided you have the administration in-house anyway.
Standard or Enterprise
The difference lies mainly in the number of mailbox databases per server. Standard covers five, Enterprise considerably more. For most mid-sized companies Standard is sufficient; the Enterprise edition is only needed for large numbers of mailboxes or special availability requirements.
What to check before you buy

Standard CAL
Covers email, calendar, contacts and tasks. One license per user or device. Sufficient for the normal office workstation.
Enterprise CAL
Adds archiving, compliance functions and extended protection. It is added to the Standard CAL and does not replace it.
Do not forget the Windows Server underneath
Exchange requires a licensed Windows Server including the corresponding Server CALs. These licenses are added to the Exchange licenses. On request, we put the complete combination together for you.
Check the end of support carefully
For a mail server with a connection to the outside, a version without security updates is not an option. The end of support deserves particular attention here. We give it to you for every license.
Frequently asked questions
How long is my version supported?
This differs considerably from version to version. For every license we offer, we give you the end of support, so that you can plan the investment. For a mail server, we expressly advise against investing in a version that is being phased out.
Does self-operation pay off compared with the cloud?
That depends on whether you have the administration in-house anyway. If so, the one-time procurement usually pays for itself clearly compared with ongoing mailbox fees. Multiply mailboxes by the monthly amount by 60 months and set that against it.
Can I run Exchange in parallel with cloud mailboxes?
A hybrid operation is possible and common in many environments. The licensing depends on the specific setup, so please contact us about it.
Do I need a CAL for every mailbox?
For every user or device with access, yes. Functional mailboxes without a user of their own, such as shared addresses, are generally excluded.
What about external recipients?
Anyone who merely sends you an email does not need a CAL. What requires a license is access to the services of the server, not mail traffic with third parties.
Do I also need Windows Server licenses?
Yes. Exchange runs on a Windows Server, and it needs its own license including Server CALs. We put the complete combination together for you, so that nothing is missing in an audit.

Need more than one product family? We put the combination together and check which client access licenses (CALs) belong with it.
